How to add a time budget to a task from the project sheet

Creating a New Budget


To add a budget to a task:

  1. Go to the project sheet that contains the task you want to add a budget to.
  2. Go to the Tasks section.
  3. Select the desired task.
  4. In the Budget section, click on Add budget (or on Add if a budget has already been created), you will then see the budget addition panel on the right.

Filling in the Right Side Panel


To complete adding the budget to the task, fill in the following items in the panel; you have three options:

  1. Directly assign a resource: If you know the resource to assign or if you want Beeye to suggest a resource based on availability information.
  2. Assign a profile: If you do not want to immediately assign a resource, or if you want to let Beeye automatically find the resource.
  3. Assign via a custom field: if you have a custom field filled with the resource to assign to the task.

Directly Assign a Resource


If you know the resource to assign or you want Beeye to suggest a resource based on their availability information, choose the Resource mode for assignment:


  1. Budget in hours: this is the time planned for the completion of the task.
  2. Start and end dates: these dates will help to define the interval in which the budget will be planned on the selected resource during the planning phase or by the automatic planning feature.
  3. Assignment mode: choose the Resource mode.
  4. Position (optional): filling in the position allows valuing the budget from the bill rate entered on the position, and can thus allow valuing the project before having assigned a named resource.
  5. Filters (optional): filters allow limiting the pool of proposed resources to more easily assign the right person.
  6. Quickly search for a resource (optional): Beeye proposes all resources matching your criteria, and indicates their availability so you can see the impact of assigning this budget.
  7. Assignment suggestions: Beeye proposes all resources matching your criteria, and indicates their availability so you can see the impact of assigning this budget.
  8. Confirm by clicking on Add to add the budget to the task.


You will then see the following budget in the Budget section:

Assign a Profile to the Budget


If you do not want to explicitly assign a resource right now, you can define a profile. When you automatically plan a budget assigned to a profile, Beeye automatically selects the most available resource with that profile.

  1. Budget in hours: this is the time planned for the completion of the task.
  2. Start and end dates: these dates will help to define the interval in which the budget will be planned on the selected resource during the planning phase or by the automatic planning feature.
  3. Assignment mode: choose the Resource mode.
  4. Position (optional): filling in the position allows valuing the budget from the bill rate entered on the position, and can thus allow valuing the project before having assigned a named resource.
  5. Filters (optional): filters define the profile and allow limiting the pool of proposed resources to more easily assign the right person.
  6. Quick search (optional): Beeye proposes all resources matching your criteria, and indicates their availability so you can see the impact of assigning this budget.
  7. Assignment suggestions: To rely on the profile defined by the filters, select Unassigned here.
  8. Confirm by clicking on Add to add the budget to the task.


You will then see the following budget in the Budget section:



Assign a Resource to the Budget via a Custom Field


If you use custom fields of the Resource type to assign resources to tasks, this option allows you to allocate a budget in the same way.

  1. Budget in hours: this is the time planned for the completion of the task.
  2. Start and end dates: these dates will help to define the interval in which the budget will be planned on the selected resource during the planning phase or by the automatic planning feature.
  3. Assignment mode: choose the Field mode.
  4. Quick search: type the name of the field you want to use to define the resource assigned to this budget.
  5. Field: select the desired field.
  6. Confirm by clicking on Add to add the budget to the task.
